Events

Conferences, summits, cultural showcases and corporate gatherings — sourced, negotiated and run end to end.

We take an event brief and turn it into a delivered programme: venue shortlists with real quoted rates, delegate travel and visas, speakers, translators, hosts and production suppliers, then on-site coordination and a post-event report. For international delegations we handle the parts clients cannot manage remotely — inspecting venues in person, negotiating in local language, and holding suppliers to the schedule on the day.

Wenya is not a booking site. We build itineraries around a purpose — a trade fair, a medical appointment, a family reunion, a board visit — and take responsibility for the documentation that usually derails the trip. Visa files are prepared properly the first time, hotels are chosen for location and safety rather than star ratings, and someone reachable is on the ground at the other end.

Most cross-border deals stall because nobody local can verify the other side. We do that work: site visits, registration checks, references, capacity assessment and honest reporting — including when the answer is that a counterparty should be avoided. From there we support market entry, licensing, distributor appointment and ongoing local representation so you have a presence without opening an office.

We coordinate freight rather than owning trucks — which means we can pick the right carrier for each corridor and hold them accountable. We handle export and customs documentation, consolidate shipments where it saves money, arrange inspection before dispatch and track movements to final delivery, escalating the moment a shipment stops moving.

Work We've Delivered

Events — Kampala, Uganda

A 300-delegate regional trade summit

Challenge
A pan-African industry body needed a summit venue, delegate travel for 11 countries and simultaneous interpretation, with 14 weeks' notice.
What we did
Wenya inspected five venues in person, negotiated a room-and-conference package, processed 96 visa files, arranged transfers and staffed an on-site coordination desk for three days.
Outcome
Delivered 6% under the approved budget, 94% of registered delegates arrived on time, and the client retained Wenya for the following year's edition.

Business — Nigeria to UAE

Verifying a distributor before signing

Challenge
A Gulf-based manufacturer was days from appointing a Lagos distributor it had only met online.
What we did
Wenya visited the premises, checked CAC registration and tax status, interviewed two existing customers and assessed warehouse capacity.
Outcome
The report showed a fraction of the claimed storage capacity. The client paused the appointment and signed with a verified alternative Wenya shortlisted six weeks later.

Travel — Kenya to Croatia

A 22-person cultural delegation

Challenge
A performance group needed Schengen visas, flights and accommodation for a European festival, with a first-time applicant list.
What we did
Wenya prepared every visa file to embassy standard, booked group flights with instrument allowances and secured accommodation walking distance from the venue.
Outcome
All 22 visas approved on first submission and the group travelled together with no rebooking costs.

Logistics — Egypt to East Africa

Recovering a stalled equipment shipment

Challenge
A medical equipment consignment had been sitting at port for 19 days with incomplete documentation and mounting demurrage.
What we did
Wenya rebuilt the documentation pack, engaged a clearing agent already known to us and coordinated daily with the consignee.
Outcome
Cleared in four working days, demurrage exposure cut by roughly 60%, and the corridor moved onto a monthly retainer.
